Connect your Google Calendar to automatically sync gigs and get notified when events are edited externally.
Connecting Google Calendar
- Go to Dashboard > Settings > Calendar
- Click "Connect Google Calendar" and sign in with your Google account
- Authorize GigOrganizer to manage calendar events
- Your existing gigs are pushed to Google Calendar automatically
- If you previously subscribed to the GigOrganizer ICS feed in Google Calendar, remove that subscription to avoid duplicates
What Syncs
Each gig creates a Google Calendar event with:
- Title — Booking status, performer name, client name, and event type
- Date/Time — Adjusted for your arrival lead time, using the contract's timezone
- Location — Venue name and address
- Description — Fee, payment info, and team member roster
Events are created as confirmed (signed contracts), tentative (pending/hold), or cancelled (voided contracts).
Two-Way Sync
Changes flow in both directions:
- GigOrganizer → Google Calendar — When you update a contract (time, venue, fee, team), the Google Calendar event updates automatically
- Google Calendar → GigOrganizer — When someone edits the event in Google Calendar, you receive an email notification
Change Notifications
When a gig event is edited in Google Calendar, you'll receive an email alerting you to the change. GigOrganizer detects five types of changes:
| Change | Example |
|---|---|
| Time changed | Start or end time moved |
| Location changed | Venue address updated |
| Title changed | Event summary modified |
| Description changed | Notes or details edited |
| Event deleted | Event removed from calendar |
One-Click Actions
Each notification email includes action buttons so you can respond immediately:
- Revert to Original — Push the contract data back to Google Calendar, overwriting the external edit
- Re-sync to Calendar — Recreate a deleted event in Google Calendar
- Save as Notes — Save description edits as performance notes on the contract
- Edit in GigOrganizer — Open the gig dashboard to make changes in the app
Disconnect and Reconnect
From Settings > Calendar you can:
- View your connected Google account email
- See the connection status and last sync time
- Disconnect your account — revokes access and stops syncing
- Reconnect anytime to resume sync
Common Questions
What happens if I edit an event in Google Calendar?
You'll receive an email notification with options to revert the change, save it, or edit the gig in GigOrganizer.
Can I choose which Google Calendar to use?
Events sync to your primary Google Calendar.
Is this Pro-only?
Yes, Google Calendar sync requires a Pro subscription.
How often does it sync?
Changes from GigOrganizer push to Google Calendar immediately. Changes in Google Calendar are detected via webhooks (near-instant) with a backup sync every 6 hours.
Do I still need to subscribe to the GigOrganizer feed in Google Calendar?
No. Once Google Calendar sync is connected, GigOrganizer writes directly to your primary Google calendar. Keeping both API sync and the Google feed subscription can create duplicate events.
What if I revoke access in my Google account settings?
GigOrganizer will detect the revoked token and mark your connection as disconnected. You can reconnect anytime from Calendar settings.
